Close recommended follow-ups
On December 16th we released our final update of 2025, which included the ability to close outstanding follow-up assessments.
Use this feature to flag in the PainChek portal that an incident of pain has been resolved outside of the PainChek assessment tool (e.g. the care recipient has been admitted to hospital) and as such a follow-up pain assessment can't or won't be conducted in line with your follow-up target times.

This highly requested feature can be accessed from the Follow-Up Assessments tab of the Overdue Assessments module, and is important in ensuring workflow continuity between PainChek and clinical management systems.
To assist you in beginning to utilize this feature, we have compiled a brief FAQ below:
- Who can access the Close feature? Only Licence Admins can Close recommended follow-ups in PainChek at this stage. We may look to expand this to other users at a later date, once are staff are comfortable with it's use and we are sure there are no risks posed by doing such.
- Does Closing an assessment require a reason? Yes, to Close a recommended follow-up assessment a reason must be submitted.
- How does Close effect the initial assessment? Using the Close feature only closes the recommendation for a follow-up assessment, and has no impact on the initial assessment where pain was identified.
- Does Closing an assessment impact our HealthChek report? No. Close a recommended assessment excludes that assessment from your follow-up metrics and HealthChek reporting.
- Can I un-Close a recommended follow-up assessment after Closing it? No. Closing a recommended assessment is irreversible.
- How can I access a list of what follow-up assessments have been Closed? This information is available on a per-request basis. Please contact your PainChek Account Manager or email us at support@painchek.com.
November Updates
From 27 November 2025 your PainChek Portal has been updated with brand new features to help your team better identify incidents of pain identified for care recipients within your organization that require follow-up assessments.
New Follow Up Assessments page
In the PainChek Portal's new 'Overdue Assessments' section of the menu, you can now find a dedicated view for all incidents of pain across your organisation, titled 'Follow-Up Assessments'.
Utilise this page to identify residents who have recently received an assessment which has indicated the presence of pain, and communicate this to staff for timely reassessment, ensuring better pain management outcomes for all care recipients.
This page is an iteration of the 'Assessment Actions' page, improving in functionality, sorting options and load times for large organisations. The 'Assessment Actions' page has been decommissioned in line with these changes.

Awaiting follow-up assessments
See incidents of pain as soon as they happen in real time on the Follow-Up Assessments page, with the status of 'Awaiting follow-up'. This new status allows for the quick identification, communication and actioning of pain incidents by staff before your follow-up time elapses.
This is a highly requested feature that brings greater clarity to the current state of pain for care recipients across your organisation, and should help your team improve reassessment processes using PainChek in line with your pain management policy.
This feature paves the way for some very exciting work we are preparing for in 2026. Stay tuned for more information about this!
Custom follow-up target times per pain level
Your organisation can now customise its follow-up target times for each of PainChek's pain levels: Mild, Moderate and Severe.
This feature brings PainChek into alignment with your clinical practices, allowing for the Follow-Up Assessments page to accurately reflect the reassessment windows that are indicative of your pain management policy.
To begin utilising custom follow-up times, contact your PainChek Account Manager or email us at support@painchek.com and we can set this up for you accordingly.
Your HealthChek and monthly management report have been updated to account for any changes to your follow-up timers.

New Routine Assessments page
Using the new Routine Assessments page, users of the PainChek Portal can see a list of all care recipients who have either not been assessed in the last 90 days or have never been assessed.
Similar to follow-up timers, this is a customisable feature, such that your organisation can set their Routine Assessment cadence to be weekly, monthly or even daily. Contact your PainChek Account Manager or email us at support@painchek.com if you wish to adjust this feature.
